Organise and coordinate the day to day running of the main human resource components for staff and students at the school including transport, security and resource management. Also known as a school or college manager or bursar the following duties of an administrative officer are an indication of a typical role.
Specific duties:
Resources
• Prepare budget on requests and quotes, following established procedure for expenditures and liaison with the senior accountant.
• Update inventory of all school furniture and equipment.
• Arrange and meet daily and longer term consumable needs of the school, staff and classroom requirements.

Premises
• Monitor the operation of the school dining hall.
• Liaise with the health/welfare/facility manager to ensure that all maintenance problems are dealt with as quickly as possible.
• Maintain and oversee the school's furniture, furnishings and equipment.
• Ensure that the school site is aesthetically pleasing; both inside and outside of the school building.
• Maintain an up to date description of the school building and grounds, including floor plans and emergency exits.
• Ensure that the fire alarm system and equipment are effectively maintained and to ensure that an emergency evacuation is in place and rehearsed at least twice a term.
Human Resources
• Coordinate and oversee health cards, visa and work permit requirements as well as travel arrangements for school personnel.
• Ensure that all documentation is up-dated and in place before the required deadline.
• Coordinate and monitor the development of the school's admin and support staff.
• Maintain and keep up to date all staff files.
• Assist the head teacher in overseeing and coordinating the work of the administrative staff, including the nurse, storekeeper, cashier, receptionist, laboratory assistants and office assistant.
Cleaning and Maintenance
• Coordinate the work and deployment of staff and tasks during the vacations through the contract manager.
• Process and monitor maintenance contracts.
• Liaise with the site cleaning/welfare and security officer in order to coordinate and monitor that all contracted tasks are performed to the highest standards.
• Ensure that the school's electricity, water supply and sanitation systems are regularly inspected for efficiency and safety and meet the required standard from the various utility and local authority departments.
Transport
• Ensure the smooth running of the school transportation and timetable.
• Ensure that bus registers are maintained and monitor efficiency.
• Make sure drivers are aware of their duties and sign the contract which outlines their responsibilities.
• Draw up bus routes.
• Arrange transport facilities as and when required by the school.
• Deal with parents regarding transportation problems and concerns.
Organisation
• Coordinate and oversee arrangements required for internal and external meetings and events in the school.
• Ensure that there is always an adequate supply food and drinks at the school.
• Liaise with the school's catering contractors.
